Civivas Privacy Policy - Private Beta

This Privacy Policy explains how Civivas LLC ("Civivas") collects, uses, discloses, retains, and protects personal information in connection with its website, private Beta application, support channels, and related services.

1. Information We Collect

Account and contact information, such as name, email address, organization (if provided), and account identifiers.

Agreement and authorization records, including invitation status, accepted document versions, date/time of acceptance, and related audit information.

Authentication and technical information, such as IP address, browser/device type, login/logout events, failed-authentication events, session information, and security logs.

Usage and diagnostic information, such as feature interactions, map actions, selected geographies, application errors, performance data, and other events reasonably necessary to operate, secure, troubleshoot, and improve the Beta.

Feedback and communications, including survey responses, support requests, bug reports, and communications with Civivas.

Information you voluntarily provide. Testers should not submit Social Security numbers, financial-account credentials, medical information, biometric identifiers, or other highly sensitive personal information unless Civivas expressly requests it for a documented purpose.

2. How We Use Information

We use information to provide and administer accounts; authenticate users; maintain security; investigate misuse; operate, test, debug, and improve Civivas; communicate with testers; analyze Beta performance and product usage; maintain legal and business records; enforce agreements; and comply with applicable law.

3. Legal and Operational Bases

Civivas processes Beta information as reasonably necessary to provide the requested Beta service, perform and administer the Beta agreement, pursue legitimate business and security interests, comply with legal obligations, and where appropriate based on consent.

4. How We Share Information

Civivas does not sell Beta tester personal information. We may disclose information to service providers that support hosting, authentication, email, analytics, security, backup, support, or professional services, subject to appropriate contractual and security expectations.

We may also disclose information when reasonably necessary to comply with law or legal process, protect rights or safety, investigate fraud or security incidents, enforce agreements, or complete a merger, financing, reorganization, or sale of relevant business assets.

5. Public and Government Data

Civivas displays and processes substantial public, governmental, geographic, demographic, election, and facility information. Public-source data about places or public records is not necessarily "personal information" under every law, but Civivas applies reasonable data governance and source controls appropriate to the data and its intended use.

6. Cookies and Similar Technologies

Civivas may use session cookies, authentication tokens, local storage, or similar technologies that are reasonably necessary for login, security, preferences, and application operation. If Civivas later deploys nonessential advertising or cross-site tracking technologies, this policy and any applicable consent mechanism should be updated before deployment.

7. Retention

Civivas retains personal information only as long as reasonably needed for Beta operation, security, support, legal compliance, dispute resolution, and legitimate business recordkeeping. Beta account and detailed diagnostic information may be deleted, de-identified, or aggregated after it is no longer needed. Specific retention periods will be documented internally as Civivas' production logging and backup practices are finalized.

8. Security

Civivas uses reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, acquisition, destruction, use, modification, or disclosure. No system is completely secure, and Civivas cannot guarantee absolute security.

9. Data Breach and Incident Response

Civivas maintains an incident-response process and will provide notices required by applicable law if a qualifying security breach occurs. Testers should promptly report suspected account compromise or security concerns to support@civivas.com.

10. Your Choices

You may ask Civivas to correct basic account/contact information or close your Beta account by contacting support@civivas.com. Civivas may retain records when reasonably necessary for security, legal, fraud-prevention, or recordkeeping purposes. Additional rights may apply depending on your jurisdiction.

11. Children

The Civivas private Beta is intended for invited adults and authorized organizational users, not children under 13. Civivas does not knowingly invite or target children under 13 to participate in the Beta.

12. U.S.-Based Service

The private Beta is presently intended for users in the United States. Civivas may update this policy and related practices before intentionally offering the service to users in jurisdictions with materially different privacy requirements.

13. Changes

Civivas may update this policy as practices or legal requirements change. Material changes applicable to active testers will be communicated through reasonable notice, and the effective date will be updated.
